Create an Issue (Web)

An Issue is a recorded problem at your facility — a broken unit, a temperature alarm, a leak, anything that needs attention. Issues are the most common starting point for a Work Order.

Before you start

Step-by-step

  1. In the store sidebar go to Issues.
  2. Click New issue.
  3. Select a Space (optional) — choose the area of the building where the problem is. This filters the asset list below.
  4. Select an Asset (optional but recommended) — choose the specific piece of equipment. The filing anchor updates to show: "Filing against: [Asset › Space]".
    • If you skip this, the issue is filed against the space (if selected) or the whole store.
  5. Severity (required) — Low, Medium, High, or Critical. If in doubt, use Medium and your operator can adjust it.
  6. Description (required) — describe what you're seeing and why it matters. Example: "Rooftop unit 3 is making a grinding noise and the compressor is not cycling correctly. Zone 2 temps rising."
  7. Evidence type — choose what you're attaching:
    • Photo — most common. Up to 5 photos per issue.
    • Note — text-only observation.
    • Invoice / PDF / Vendor record — for attaching external documents.
    • Telemetry — paste sensor data or a link.
  8. Upload evidence — attach your file(s). For photos, drag and drop or click to browse. Max 5 files.
  9. Due date (optional) — if this needs attention by a specific date, set it here.
  10. Click Submit issue.

The issue is created and appears in the Issues list with status Open.


What happens next?

  • The issue is now visible to anyone with Issues read access.
  • You can convert it to a Work Order directly from the issue detail view — click the issue row, then click Create Work Order in the side panel.

Adding more evidence after creation

You can add more photos or notes to an existing issue:

  1. Open the issue from the Issues list.
  2. In the side panel, scroll to the Evidence section.
  3. Click Add evidence and upload additional files.

Editing an issue

Some fields can be edited after creation:

  • Title / issue type
  • Description
  • Severity
  • Due date
  • Asset (reassign to a different asset)

Fields that are permanent and cannot be changed after creation: the site, the original source, and the start time.


Closing, rejecting, or resolving an issue

  • Close (resolve): Mark the issue as resolved from the issue detail panel. Requires issues.close permission (Org Admin).
  • Reject: Dismiss an issue that was filed in error. Provide a reason.
  • Issues converted to a Work Order move to Converted status automatically once the WO is created.
