What is Vigil
Vigil is a maintenance and operations platform for physical facilities. It keeps track of your equipment, the problems that come up, the work done to fix them, and the contractors who do that work — with a full evidence trail behind every job.
The core idea, in plain terms
Everything in Vigil flows in one direction:
Something is wrong → you record it (an Issue) → you create work to fix it (a Work Order) → someone does the work and proves it (Evidence) → you approve it.
To make that flow possible, a few things have to exist first: the place (a Site), the equipment in it (Assets, grouped into Systems), and the people who fix things (Service Providers). The rest of this guide walks through each piece and how they depend on each other — see How Everything Connects.
The three apps
Vigil is one system behind three different front doors. The same data shows up in all of them; each app is shaped for a different job.
1. Vigil Web — the control room
For org users (your staff): operators, facility managers, and executives. This is where you set up sites and equipment, manage contractors, review work, run reports, and approve payment. Full keyboard-and-mouse power.
2. Vigil Mobile — the floor
For the same org users, but on a phone while walking the building. Snap a photo to report an issue, raise and assign a work order, or scan an asset's QR code to pull up its history. Built around a floating "+" button for quick actions.
3. Vigil Service — the contractor's app
For service providers (outside contractors and their technicians). They only see the work assigned to them. They check in to a job, do it, take the required photos, and submit it for your approval. They cannot create work, assign it, or see anyone else's jobs.

Who does what (roles)
Vigil controls what each person can see and do through roles. The short version:

The vocabulary you'll see everywhere
- Site — a physical building/facility (often called a store).
- System — a group of related equipment in a site (HVAC, Refrigeration, Electrical…).
- Space — a named area inside a site (Sales Floor, Walk-in Cooler…).
- Asset — a single piece of equipment (a specific compressor, a rooftop unit…).
- Issue — a recorded problem (also called an event).
- Work Order — a task to resolve something.
- Service Provider — a contractor company you hire to do work.
- PM Schedule — a recurring preventive-maintenance task on an asset.
- Evidence — photos/notes/documents attached to an issue or job.
