Find an Asset by QR Code

Every asset in Vigil can be given an asset tag — a short code (e.g. HVAC-003) that is printed as a QR sticker and affixed to the physical equipment. When you scan it, Vigil instantly shows you everything about that asset: its specs, open issues, active work orders, and PM schedules.


When to use this

  • You're standing in front of a piece of equipment and want to see its history.
  • You're reporting an issue and want to quickly select the correct asset without searching by name.
  • You're starting a work order and need to confirm you're at the right unit.

How to scan

From the FAB

  1. Tap the blue + FAB → Find Asset.
  2. Your camera opens. Point it at the QR sticker on the equipment.
  3. When the code is read, you land on the Asset Scan Result screen showing the asset (and its parent asset if it's a sub-component).
  4. Tap the asset to go to its full detail page.

From the Assets screen

  1. Open the drawer menu → Assets.
  2. Tap the QR icon (top right of the screen).
  3. Same scanner opens.

While creating an issue

  1. In the issue creation form, tap the QR icon next to the asset search field.
  2. Scan the sticker. The asset is auto-selected as the issue's anchor.

If no asset is found

If the code scanned doesn't match any asset in Vigil, you'll see: "No asset found for this tag."

This usually means:

  • The asset hasn't been added to Vigil yet. Have your org admin add it and set its asset tag.
  • The sticker is damaged or unreadable — try again in better lighting.
  • The sticker belongs to a different system (not Vigil).

Setting up QR tags (org admins)

When adding or editing an asset in the web app (or mobile), there is an Asset tag field. Enter a short unique code (e.g. HVAC-003, REFRIG-C1). Then:

  1. Generate a QR code image from that string (any free QR code generator works).
  2. Print it on a weather-resistant label.
  3. Affix it to the physical equipment in a visible, accessible location.

Tip: Use a consistent naming convention across your sites — e.g. [SYSTEM ABBREVIATION]-[NUMBER]. It makes codes readable even without scanning.
