Doing a Job — Check In to Check Out

This page covers the complete job lifecycle for a technician in the Vigil Service app — from the moment you arrive on site to submitting the finished job for the facility's approval.


The flow at a glance

Work order assigned to your company

1. Check In  →  session starts, time is recorded

2. Do the work  →  add session notes

3. Collect evidence photos  →  required photos per the checkout checklist

4. Log refrigerant (if HVAC/refrigeration work)

5. Check Out  →  automated review validates your evidence

Step 1 — Find the work order

From the My Queue tab, find the work order under Needs Check-In. Tap it to open the detail screen.

The detail screen shows:

  • Work order type, ID, and status.
  • Priority and due date.
  • The linked issue (if the WO originated from one) with severity.
  • The asset (tap to see its full details and history).
  • The site/location.
  • Any notes left by the facility team — read these before starting.
  • Activity timeline (created, assigned, etc.).
  • Prior session history.

Step 2 — Check In

Tap the Check In button at the bottom of the detail screen.

A confirmation appears. Confirm. The session starts and the app navigates to the Active Session screen. Your check-in time is recorded.


Step 3 — Do the work

Work on the equipment. While you're working, you can:

  • Add session notes — describe what you found, what you did, and any relevant observations. This is visible to the facility team after you submit. Be specific: "Replaced capacitor on condenser fan motor. Motor was drawing 8A vs rated 6A. Capacitor showed bulging. Tested after replacement — now drawing 5.8A, zone 2 temps recovering."

  • Multiple sessions — if you need to leave and come back (e.g. waiting for a part), tap Check Out, then check back in later. Multiple sessions are supported and all are recorded.


Step 4 — Collect evidence photos

Before you can check out, you need to satisfy the checkout evidence requirements. These are shown as cards in the Checkout Evidence section of the Active Session screen.

Each requirement shows:

  • A label (e.g. Work area photo, Asset closeup, Site restoration).
  • A description of what to photograph.
  • A count: X / Y required or Z optional.
  • A + camera button to add a photo.

Tap the + button on each requirement and take the photo. Required photos must be filled in before the Check Out button becomes active.

Tips for good evidence photos:

  • Wide shot showing the equipment and surrounding area (context).
  • Close-up of the specific component you worked on.
  • "After" photo showing the repaired/restored state.
  • If you replaced a part, photograph both the old part and the new one installed.

Step 5 — Log refrigerant (HVAC/refrigeration jobs only)

If the work involves refrigerant-handling equipment, a Refrigerant & EPA Tracking gate appears before you can check out.

You must do one of two things:

Option A — Log refrigerant service:

  • Type of refrigerant (e.g. R-410A).
  • Amount added (lbs).
  • Amount recovered (lbs).
  • Full charge capacity (lbs).
  • Your EPA certification ID.
  • Any notes.

Option B — Skip (didn't handle refrigerant):

  • Tap "I didn't handle refrigerant".
  • Select the reason: Electrical repair only, Inspection/diagnostic only, Controls/sensors work, Mechanical (non-refrigerant), or Other.

Either way, you need to complete this step before you can proceed to check out.


Step 6 — Check Out

Once all required evidence photos are attached (and refrigerant logged if applicable), the Check Out button becomes active.

Tap Check Out. The app:

  1. Uploads all your photos.
  2. Runs an automated review of the evidence.
  3. Returns a review result.

If the review fails, it shows the specific Required Actions — e.g. "Work area photo is unclear — retake with better lighting." Add the corrective evidence and resubmit.


Step 7 — Submit for Review

Once the checkout review passes, tap Submit for Review.

A confirmation dialog appears: "This will submit the work order for facility verification. You won't be able to check in again after submitting."

Confirm. The work order status changes to Pending Review. It moves to that section in your queue. Your job is done — the facility team will review and approve or reject.


If your work is rejected

If the facility rejects your submission:

  • The WO returns to Needs Rework in your queue.
  • Open it — the rejection notes explain what needs to be fixed.
  • Tap Check In again, address the issue, collect any additional evidence, and resubmit.

Viewing past sessions

From the work order detail screen, tap View all sessions to see the full history: every check-in, check-out time, notes, and evidence photos for each session.


Profile and stats

The Profile tab shows your personal work stats:

  • To Do — assigned, not yet started.
  • Active — checked in.
  • Done — submitted or approved.

It also shows your contact info, company details, and lets you change the app theme (Light / Dark / System). To sign out, tap Sign Out at the bottom of the Profile screen.
